Getting Started with ArcGIS Online

Are you using ArcGIS Online (AGOL)? UF has access to AGOL via our Esri Site License. Students, faculty, or researchers can sign in using their GatorLink account.


To begin, sign into AGOL with your GatorLink Credentials:

http://ufl.maps.arcgis.com > click Sign In > choose “University of Florida” > enter GatorLink Credentials

This will automatically give you AGOL access with the “Publisher” role and a credit budget of 1000.

For students, that’s all you need! You’re now ready to use AGOL.

Instructors may optionally have their role elevated to gain the ability to administer groups. After you have logged into AGOL at least once, ask your campus unit point of contact to elevate you to the Instructor role. (if you are not sure who your Point of Contact is, then please contact GeoPlan).

Do you want to use ArcGIS Online in your research?  In order to use AGOL for grant funded research you must be contributing to the cost of site license. For more information on cost, please see our FAQs.

To get started using AGOL, complete the following steps:

  • Create an ArcGIS Online login for yourself using your Gatorlink credentials.
  • Notify your point of contact that you are using AGOL for your research. Not sure who your Point of Contact is? Contact GeoPlan.

If you are the Point of Contact for your unit and you would like to perform administrative tasks for AGOL users in your campus unit. Please first create an AGOL login (using the above instructions) and then please contact GeoPlan.

For your campus unit to utilize the Esri Site license, you will need to pay the annual fee ($100 or $500 depending on level of usage) and have 1 person that is the Point of Contact. If your campus unit does not have a Point of Contact then please submit this form to request to become one.

When accepting the invitation to the University of Florida AGOL organization (logging in with your GatorLink credentials), please be aware of the following:

  • Content Management: Any items you have in the account will become part of the UF organization’s content and can be modified or deleted by the administrator. Ensure you maintain personal copies of any data you consider critical.
  • Data Transfer: If you leave UF, there is currently no simple way to transfer your data outside of the UF org. If you have important data that needs to be preserved, arrange for the transfer of this data to a colleague who will continue to use it (more info here)
  • Account Inactivity: Users that haven’t logged into their AGOL account within the past 1 year will be subject to removal by the administrator. Removal of the account will include all content owned by the user. Regularly access your account to avoid unintended data loss. Keep in mind that account access is determined GatorLink service eligibility, please contact UFIT for more information.
  • Data Ownership: All data created or uploaded under the UF AGOL account is subject to the organization’s data policies and governance guidelines. This includes compliance with UF data security, privacy, and sharing policies.

Many AGOL actions you perform will use credits. Each AGOL user automatically gets 1,000 credits.

ESRI allots UF a number of credits that are shared by the entire campus for the year.  While ESRI is generous with our credits, please keep in mind that it is possible to run out of credits for your account.  If you run out of credits, AGOL admins will be alerted. In certain situations, you may be given more credits.

Our recommendations for limiting credit usage:

Storage

Uploading data to AGOL consumes storage credits. Storage credits aren’t subtracted from the user’s credits, but they are subtracted from the total credits of UF. Unfortunately, we don’t have unlimited storage credits, and therefore, we need to clean up data that isn’t being used. If the University goes over its credit limit, the following things will happen:

  • Performance for the entire University will be impacted
  • Costs will be incurred
  • Users’ Feature Layers will be removed by AGOL administrators

The most important thing we can do is clean up our Feature Storage. This is storage space that is consumed by feature layers in AGOL.

To see what feature storage you have, sign in to AGOL and go to Content.  Feature storage is anything with the type “Feature Layer”. You can view this Esri page for more information on the different types of storage in AGOL.

AGOL is covered under UF’s Esri Site license. If you are using AGOL for class purposes, there is no cost. If you are using AGOL for research purposes, you are expected to contribute to the site license cost. More information on licensing info and costs can be found in our FAQs.
